While working for XYZ company as a Back Office Executive, I did encounter a client on one occasion over the phone who was absolutely frustrated. Upon further enquiry, I found out that he was angry and stressed because the company had levied an additional charge on the product that he had purchased.

I immediately understood why he must have felt that way. He was clearly anxious and worried which led to him screaming on the phone. But not once did I ever interrupt him even when he was shouting at me on the top of his voice.

After some time, I acknowledged the feelings of the client and then proceeded to get the details of their purchase from him. I also made sure that I kept investigating the root cause of the problem. Upon further deliberation, I realised that the customer hadn't taken the price of an add-on feature (which he had requested) into consideration.

I clearly explained the matter of the additional cost after which he realised his mistake soon enough and then apologized for his reaction. As a Back Office Executive, I completely understand that empathy and patience are needed when dealing with clients.

Sample Answer: There's nothing in particular that I really dislike as a Back Office Executive. But if I had to pick one that I find the least interesting, it'd be filing. And the reason why I don't find it to be exciting is because I do not find it challenging at all. Moreover, the task is extremely monotonous because it's repetitive.

Having said that, I do give it everything in my locker to ensure that it's wrapped up as soon as possible without any errors. This allows me to look forward to other more interesting tasks that are challenging and make me think out of the box.

Sample Answer: As a Back Office Executive, I do often find myself completing tasks for several employees simultaneously. And to be honest, when this happens I do manage to balance all the work on my own without any assistance.

To achieve this balance, I carefully single out the tasks that are time-sensitive and high priority in nature. Once I'm done with the segregation, I take a look at my calendar(schedule) and create gaps in between tasks to slot them in.

Of course, there will be times when someone who has a task for me may not agree with the time slot that I have reserved for its completion. When such a thing happens, I sit down with the individual and have a positive interaction about the nature of their task, its urgency, my bandwidth, and the other things on my plate.
